Our client, a leading provider of Oil & Gas (O&G) drilling and production equipment and supply chain integration services, was facing a similar challenge with its OTM and GTM deployments. To mitigate this issue, they commissioned Birlasoft to propose a segregation plan and simultaneously upgrade and migrate the deployments to the cloud.
Birlasoft diligently scoped the deployments to isolate the OTM and GTM solutions for three business segments and enabled the client to realize significant operational enhancements. Read the details of this engagement below.
The Challenge
1. Different business segments utilizing common OTM and GTM deployments
The client had three different business segments using a common on-prem OTM and GTM deployment. Each of these segments had common and distinct processes running within the same solution, which made the existing deployment complex to support. Moreover, this solution was also connected to different ERPs like JD Edwards, E-Business Suite, and Glovia, which further increased the complexity of the solution.
2. Oracle deployments nearing end of support
The existing deployments used an older version of Oracle OTM and GTM (v6.3.3), nearing the end of support. This would expose the business to security risks while keeping them wanting for advanced functionalities.
The Solution
1. Segregation of OTM and GTM functionality for different business segments
Birlasoft devised solution designs to segregate the functionality of existing OTM and GTM deployments for each business segment. GTM would support Party Screening, Item Classification, Transaction Screening, and Reporting, whereas OTM would support Order Management, Ops Planning/Shipment Management, Invoice Management, and Rate Management.
We reconfigured the domain structure based on lines of businesses and ERPs in use. Moreover, using a single Master Data instance in the parent domain would ease classification, screening, and planning processes.
2. Implementation of OTM and GTM cloud solutions
Once the client approved the proposed solution designs, Birlasoft implemented the latest OTM and GTM cloud versions and configured them per the proposed architecture.
3. Migration of historical data to the cloud using Birlasoft Path-to-Cloud
Following the cloud implementation, we leveraged our Path-to-Cloud approach to rapidly move historical data for each business to the cloud. We leveraged various proprietary tools and techniques to ensure a fast, consistent, and secure migration.
4. User training and change management support
Lastly, Birlasoft provided extensive training to the client’s users with documentation and training videos to help them adopt the new solution.
The Impact
1. Simplified business processes
By using common processes instead of customizations, rationalizing the domain structure, and unifying master data, we significantly simplified key processes for each business segment. This also reduced the onboarding time for users.
2. Reduced TAT and improved performance
With the simplified solution architecture, the client could now solve the Known Error Database (KEDB) and other issues with predefined SOPs much faster. Moreover, the use of cloud and adherence to best practices had a significant positive impact on the system’s performance.
3. Enabled new OTM/GTM functionalities
Using newer cloud-based OTM and GTM versions brought new capabilities that helped mature existing processes. Moreover, the client can now upgrade the OTM and GTM deployments to exploit new capabilities as and when they are released in the future.
Rationalizing the OTM deployments and migrating them to the cloud has significantly elevated operational efficiency at the client organization.
