Overview
Oracle GTM migration and automation of critical regulatory workflows enables proactive compliance with federal regulations with near-zero errors.
Trade compliance can present a significant challenge to businesses in the manufacturing industry due to complex and diverse regulatory requirements. When executed manually, trade compliance workflows become a cost center and increase the organization's risk exposure due to errors.
Our client, a manufacturer of highly engineered industrial products, recognized the need to upgrade its Oracle Global Trade Management (GTM) environment to enhance compliance and improve alignment with evolving trade regulations. With operations spanning 26 countries and over 11,000 employees, the client needed a robust and scalable solution to manage its global trade operations.
They engaged Birlasoft to upgrade and migrate their on-prem GTM deployment to the cloud. See the details and outcomes of this engagement below.
The Challenge
1. Implementation issues with on-premise GTM solution
The client needed help with its on-premise Oracle GTM solution due to several implementation issues, which led to poor adoption. They did not fully utilize the existing system, leading to inefficiencies and errors in compliance processes.
2. Complex and custom processes required retrofitting
The client had developed multiple customizations to support specific business requirements. However, these customizations became a burden when transitioning to the cloud. Retrofitting these procedures using standard agents was a significant challenge, as it required a delicate balance between maintaining the necessary custom functionalities and adopting standard, cloud-based configurations.
3. Compliance challenges due to evolving regulations
As trade regulations continued evolving, our client needed help to comply with the latest laws. Their existing GTM system lacked the flexibility to adapt to regulatory shifts quickly. The company needed to reduce the number of customizations required to meet the compliance rules and wanted to ensure that its system was always aligned with the latest regulations, which was difficult to achieve in its outdated on-premise solution.
The Solution
1. Rationalizing custom logic to drive standardization
One key aspect of the migration was rationalizing the customized logic that the client had accrued over the years. Birlasoft worked closely with the client’s internal teams to understand the specific business needs that these customizations addressed. By identifying the critical functionalities and developing workarounds early in the migration process, Birlasoft ensured that the client’s unique business requirements were met while transitioning to a more standardized cloud environment.
2. Migration to Oracle GTM Cloud
Birlasoft initiated the migration of the on-premise Oracle GTM solution to the latest cloud version, which provided access to the latest capabilities available in the cloud. This eliminated the implementation issues impeding adoption, and the cloud-based solution also enabled easier future upgrades, ensuring that the client could stay aligned with evolving trade regulations.
3. Use of ITM Adapter for seamless EBS integration
To address the integration challenges, Birlasoft utilized the ITM (International Trade Management) adapter to integrate the GTM environment with Oracle EBS. This facilitated seamless Item, Party, and Transaction line mapping processes, ensuring that all customized EBS code changes and related interfaces were effectively integrated into the new GTM cloud environment.
4. Simplification and standardization of internal processes
We focused on simplifying and reducing the number of changes to compliance rules, ensuring that the GTM system supported simpler internal workflows. This involved removing unnecessary DB links, custom codes, and stored procedures and replacing them with more standardized and simplified processes. This approach reduced the system's complexity and made it more maintainable.

The Impact
1. Improved compliance and risk management
The migration to Oracle GTM Cloud provided a more reliable and efficient system for managing trade compliance. The new solution screens orders at the time of entry, allowing the company to focus on high-risk orders. This significantly reduced the time and effort required for compliance checks, lowering the risk of non-compliance and potential fines.
2. Alignment with federal regulations
The simplified and standardized processes allowed the company to stay aligned with current regulations and maintain proactive compliance before orders are shipped, thus minimizing the risk of non-compliance due to outdated procedures. Moreover, automation reduced manual dependencies, resulting in fewer errors and lower compliance risks.
Our client realized the long-term benefits of moving to the cloud and significantly simplifying its trade compliance operations by engaging Birlasoft to transform its core operations with Oracle GTM.
